Booking & Travel Policies

Effective for all tours operated by Vietnam Insider Travel

1. Booking & Payment

• Full Payment Requirement: To secure your reservation, full payment (100%) is required at the time of booking. A booking is only considered “Confirmed” once payment is cleared and you receive a formal confirmation voucher.
• Processing Fee: A 3.3% processing fee applies to all credit card, debit card, and online payment transactions.
• Confirmation & Amendment Fee: Please note that 30% of your total booking amount is non-refundable once the booking is confirmed and payment is received. This 30% fee applies to any cancellations or amendments (changes to dates, group size, or tour type) made after confirmation.

2. Cancellation & Refund Policy (By the Guest)

Cancellations must be submitted in writing. Refunds will be processed based on the following schedule:

Note: All refunds are subject to the 3.3% processing fee and any applicable bank charges.

3. Insurance Coverage

• Site Insurance: All entrance tickets included in our tour packages (Lan Ha Bay, Cat Ba National Park, etc.) provide basic accident insurance coverage at the site. This coverage is provided by the site management authorities and is valid within the boundaries of the tourist attraction.
• Personal Travel Insurance: While site insurance is included, we strongly recommend that all guests purchase their own comprehensive travel insurance to cover medical emergencies and trip interruptions outside of the specific tourist sites.

4. Cancellation due to Weather (Force Majeure)

• If the tour is cancelled by the authorities (typhoons or extreme weather):
  1. We will offer an Alternative Land-Based Tour of equal value.
  2. Or, we will Reschedule the tour for a later date.
  3. Or, we will provide a Full Refund (minus the 3.3% processing fee and any services already rendered).

5. Holiday Surcharges

• A surcharge of 10% of the total booking amount applies to all services rendered on Vietnamese Public Holidays (e.g., Lunar New Year, Independence Day, May Day, Christmas, and New Year’s).

6. Children’s Policy

• Infants (Under 5 years):
  – First Child: Free of charge (FOC). The FOC child must share a seat/bed with parents.
  – Second Child: A 75% charge of the adult rate applies to the second child under 5 years old.
• Children (5 to 9 years): Charged 75% of the adult rate.
• Adults (10 years and older): Charged 100% of the adult rate.
